How to make a company stamp
A company stamp is a convention rather than a legal instrument. Nobody is obliged to have one, and no document is worth more for carrying one — but a quote, a delivery note or a receipt that arrives without one still tends to look unfinished.
Enter your company name, its registration number, address and phone, choose a shape and a colour, and the stamp is drawn as you type. Place it on your document or download it as a transparent PNG to use anywhere else.
Open the free stamp makerStep by step
- Open the editor and your document
Drop in the PDF you want to stamp. Everything happens in your browser, so the document never leaves your device.
- Enter your company details
Name, registration number, address and phone. The round stamp puts the name along the top arc and the registration number along the bottom one.
- Choose shape, colour and border
Round, oval or rectangular; blue, black, red or green; a double, single or no border. An inked look adds the specks a real rubber stamp leaves behind.
- Place it, or download the PNG
Drop it on the page and drag it where it belongs, or download a transparent PNG to reuse in your invoicing software or on paper.
A stamp has no legal value
In France, Germany, Spain, Italy and most of Europe a company stamp proves nothing by itself and never replaces a signature. What commits a company is the signature of somebody entitled to sign for it.
That is worth knowing in both directions: do not rely on a stamp when you receive a document, and do not assume a document you send is weaker without one. Where a stamp is genuinely required — certain export and customs papers, some public tenders — the requirement will say so explicitly.
Put only what is yours on it
Making a stamp in another company's name, or one that imitates the seal of a public authority, is forgery, and it is prosecuted as such regardless of what the stamped document was used for.
Your own name, your own registration number, your own address. If you are stamping on behalf of an employer, the stamp belongs to the employer and its use is theirs to authorise.
What to put on it, and what to leave off
The company name, its legal form and registration number, and enough for a recipient to reach you — an address, a phone number. That is what makes the stamp useful as a stamp.
Leave off bank details, anything that changes often, and anything you would not want photocopied: a stamp is applied to documents that travel, and it will outlive the version of your details that seemed current when you made it.
Frequently asked questions
Is a company stamp compulsory?
No, not in France or in most of Europe. Some countries and some specific procedures do expect one, and a few jurisdictions outside Europe still treat a company seal as significant — check the requirement rather than the habit.
Does a stamp replace a signature?
No. A stamp alongside a signature is conventional; a stamp instead of one commits nobody. If a document matters, sign it and stamp it, in that order of importance.
Can I use the stamp outside this editor?
Yes. Download it as a transparent PNG and drop it into your invoicing software, a word processor or a design tool. The transparent background means it sits over the page rather than in a white box.
